• Candidates: individuals who register with us or apply for specific roles

• Client companies: organisations that engage our executive search services and their representatives

We act as Data Controller in respect of the personal data described in this policy, meaning we determine the purposes and means of its processing.

Depending on the nature of your interaction with us, we may collect the following categories of personal data:

■ Identity data: name, nationality, date of birth (where relevant)

■ Professional data: current and past employers, job titles, career history, educational background, professional qualifications and certifications, language abilities, compensation information, career objectives

■ Application materials: résumé / CV (PDF or Google Drive link), cover letter, and any other documents you voluntarily provide

■ Reference data: referee names and contact details (collected only with your prior explicit consent)

■ Technical data: IP address, browser type, website usage data (collected automatically via cookies — see Section 11)

■ Message content: enquiries and messages submitted via our contact or application forms

We collect your personal data in the following ways:

• Directly from you: when you submit your CV, complete a contact form, or communicate with one of our consultants in person, by phone, or by email

• Through client referrals: when a client company nominates or refers a candidate to us

• From public sources: professional networking platforms such as LinkedIn, public business directories, and other lawfully accessible public information

• Automatically: when you visit our website, certain technical data is collected automatically (see Section 11)

We process your personal data on the basis of one or more of the following lawful grounds under Taiwan's Personal Data Protection Act:

• Your consent — including consent given when you submit personal data to us or agree to this policy

• Performance of a contract — where processing is necessary to provide the services you have requested or to take pre-contractual steps

• Legitimate interests — where we have a legitimate business interest that is not overridden by your rights and interests

• Legal obligation — where we are required by law to collect or retain certain data

We use the personal data we collect for the following purposes:

• Providing executive search and senior talent placement services

• Matching candidates to relevant leadership opportunities and notifying them accordingly

• Responding to client and candidate enquiries

• Building and maintaining our professional talent network and candidate database

• Fulfilling service agreements with client companies

• Sending marketing communications (see Section 9)

Regarding disclosure:

• We do not sell or rent your personal data to any third party.

• We share your profile with prospective employers only with your prior explicit consent, which you may withdraw at any time.

• We may engage service providers (e.g. IT systems, cloud storage) who process data on our behalf; all such providers are bound by confidentiality agreements.

• We may disclose personal data to government authorities or courts where required by applicable law.

As an executive search firm operating across APAC and the United States, we may need to transfer your personal data to partner firms or service providers located in countries other than Taiwan in order to fulfil our services.

Any such international transfers are conducted:

• Under appropriate confidentiality agreements

• In compliance with Taiwan's Personal Data Protection Act and applicable law in the receiving jurisdiction

• Only to the extent necessary to complete the relevant placement or service

If you have questions about how we protect your data during international transfers, please contact us (see Section 15).

We retain your personal data for as long as the purpose of collection persists, or as required by applicable law, whichever is longer.

Specific retention periods:

• Résumés and application materials: deleted no later than 180 days after the relevant mandate is closed

• Contact and correspondence records: within 2 years of the last interaction (or longer where an ongoing relationship exists)

• Client contract-related data: retained in accordance with applicable statutory limitation periods

Upon expiry of the relevant retention period, your data will be securely deleted or anonymised. If you wish to request earlier deletion, please contact us (see Section 15).

Our services are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has submitted personal data to us, please notify us immediately and we will delete it as soon as practicable.

Subject to your consent, we may contact you by email from time to time with:

• Information about our services

• Notifications of career opportunities relevant to your background

• Industry insights and market intelligence

You may opt out of marketing communications at any time by contacting us at rp_tw@reeseptr.com or using the unsubscribe link in any email we send. We will process your request promptly, and opting out will not affect any other aspect of our relationship with you.

Under Article 3 of Taiwan's Personal Data Protection Act, you have the following rights in relation to your personal data:

• To request a copy of your personal data

• To request correction or supplementation of inaccurate or incomplete data
